Two platforms run the email, files and calendars of most small businesses: Google Workspace and Microsoft 365. Both are good. Both are secure when they are set up well. People still agonize over the choice, usually because they are comparing feature lists instead of asking how their business actually works.
Here is how to pick, in the order that matters.
Start with the people, not the products
Ask your team one question: when you open a document to work on it, what do you open? If the answer is a browser tab and a shared Google Doc, you are a Workspace company. If the answer is Excel, with the formulas and macros someone built years ago, you are a Microsoft company.
The apps you are already fluent in are the ones you will use. Fighting that costs more in lost time than any license difference. Walk the office and look at screens for ten minutes. That beats an hour of reading comparison tables.
Then the outside world
Who do you trade documents with? A law firm, an accountant, a government agency or a big customer will almost always send Word and Excel files and expect them back unchanged. Workspace opens them, but formatting can shift and tracked changes can get odd. If your business lives on other people's Office files, Microsoft 365 is the safer path.
If most of your sharing is a link to a document that several people edit at once, Workspace does that more simply.
Then the devices
Microsoft 365 includes Intune, which manages Windows laptops and phones: who can sign in, what gets encrypted, what happens when a device is lost. If you have a fleet of Windows machines, that is a real reason to pick it.
Workspace manages Chromebooks and Chrome well, and does basic phone management. A Mac-heavy or phone-heavy team is usually happy there.
Either way, every company laptop should be encrypted and able to be wiped from a distance. Pick the platform that makes that easy for the machines you actually own.
Then the money
Compare the plans you would actually buy, not the cheapest one on each site. For a small business that means Microsoft 365 Business Standard or Business Premium against Workspace Business Starter or Standard. Premium costs more and includes device management and stronger security tools. Standard on either side covers email, files, video calls and the office apps.
Watch for two traps. Paying for seats nobody uses, which happens on both platforms when leavers are never removed. And paying for a top-tier plan across the company when three people need it.
The things that are the same
Both platforms give you:
- Business email on your own domain, with SPF, DKIM and DMARC available.
- Two-step sign-in and the ability to require it.
- Shared drives or SharePoint sites the company owns, so files do not leave with a leaver.
- Video calls, chat and calendars.
- Retention tools, and the need for a separate backup anyway.
Neither platform backs up your data the way most owners assume. Both will restore a deleted file for a while. Neither will save you from a mailbox deleted by an attacker and emptied before anyone noticed. Independent backup is a line item on both sides.
Switching is not the disaster people fear
Mail, calendars, contacts and files move between the two in both directions. The work is in planning the switch-over date, mapping shared drives to SharePoint or back, and making sure nobody's signature, alias or forwarding rule is lost. Done on a weekend, with a tested plan, most teams sign in on Monday and get on with it.
So if you picked wrong five years ago, you are not stuck.
A short decision
- Office files from outside, Windows laptops, Excel at the center: Microsoft 365.
- Shared docs, browser-first team, Macs or Chromebooks, simple admin: Google Workspace.
- Mixed, or unsure: pick the one your most important customers use, and we will make it work.
What ALCO does on both
We run the admin console on either platform: users, licenses, security, mail records, onboarding and offboarding, backups, and a help desk that answers your team around the clock. We do not sell one over the other.
